Polices and Procedures

Cancellation Policy

Please understand that making a reservation for a climbing trip means we schedule a guide for your trip, which prevents us from accepting another reservation. We want you to fully enjoy your planned climbing experience with us, but we do understand that plans sometimes change. We hope you understand that cancellations add challenges for us and can impact guides financially.

-When making your reservation, full payment is required to reserve your spot on that trip or course. This is refundable up to 30 days prior to your course date, minus a 4% administration fee.

-If you cancel less than 30 days in advance you will receive a credit for a future reservation. You may reschedule your climbing trip for an alternate date within the same climbing season at no additional charge.

-If you do not show up on the day of your course or cancel less than 48 hours prior to the date of your course, you will not be eligible for any refund.

-Short-notice reservations made less than 48 hours before the scheduled course will not be eligible for refund. We strive to offer credit for future trips when possible.

Big River Climbing Guides is not responsible for other costs which may be incurred, such as entrance fees to Custer State Park or Devils Tower National Monument, camping, lodging, or food. In some cases, we will have a campsite available for you to join us at no additional cost but such details are on a case but case basis and will be discussed during our pre-trip discussions.

Trip insurance is encouraged and can be purchased from several places online.

Weather Policy

We always hope for perfect climbing weather, but we know that doesn’t always happen. However we ask all participants come prepared to climb in various conditions.

-For rock climbing trips we will not cancel for rain unless there is a greater than 40% chance of rain. Considering this we will always include our guests in the decision making process as in some cases the percentage of rain may be for only a short portion of the day and still be a great day for rock climbing. If the 24hr forecast is greater than 40% you may reschedule at no cost. For courses with limited climbing such as anchor courses, rescue courses, etc we will most likely be able to meet all of our goals even in wet conditions as we can usually find a protected area to learn and practice these skills.

-For ice climbing trips we will work with participants if the forecast looks extremely cold or if road conditions don’t allow for access to the climbing site. If participants are unable to make it to the climbing location we will offer a credit for the course or tip but no refunds are available within 48hrs.

Dogs

Dogs don’t climb so please leave them at home. Adding animals to our trips only adds additional distractions in a sport that requires clear communication and focus. Therefore we do not allow dogs on our trips and courses.

Transportation

Big River Climbing Guides does not transport participants to or from climbing locations. All participants must arrange their own travel to climbing locations during guided trips and courses.
